Privacy Policy

Essendon Natural Health

Effective date: 12 October 2026 | Last reviewed: 12 October 2026

1. Our commitment to your privacy

Essendon Natural Health (“we”, “us”, “our”) is committed to protecting the privacy and confidentiality of your personal and health information. This policy explains what information we collect, why we collect it, how we use and store it, who we share it with, and how you can access or correct it.

We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and the Health Records Act 2001 (Vic) and the Health Privacy Principles (HPPs).

Our practitioners are also members of professional associations and are bound by their codes of conduct and ethics, which include maintaining your confidentiality.

2. What information we collect

We collect the information we need to provide safe and appropriate care, including:

  • Identity and contact details: your name, date of birth, address, phone number, email address and emergency contact.
  • Health information: your medical and health history, presenting concerns, symptoms, medications and supplements, test results, referrals, treatment notes, treatment plans and progress.
  • Administrative and billing information: appointment history, payment details, private health fund details, and Medicare, DVA or other claim information where relevant.
  • Other information: records of your communications with us, feedback or complaints, any consent forms you complete, and clinical photographs taken with your permission.

Where possible, we collect information directly from you. With your consent, we may also collect information from other health providers involved in your care (for example, your GP or a specialist).

3. Why we collect your information

We collect, hold, use and disclose your information to:

  • assess, provide and manage your care and treatment;
  • maintain accurate clinical records;
  • communicate with you, including appointment bookings, email and SMS reminders, telehealth consultations and follow-ups;
  • process payments and private health fund claims;
  • meet our legal, professional and regulatory obligations;
  • manage our practice, including quality assurance, insurance and risk management.

We will only use or disclose your information for the purpose it was collected, for a directly related purpose you would reasonably expect, or where you have consented or the law requires or permits it.

Telehealth

We offer consultations by telehealth. We ask that you take part from a private place where you feel comfortable. We will not record a telehealth session without your consent. Information discussed during a telehealth consultation is recorded in your health record and protected in the same way as information from an in-person appointment.

Photographs

With your permission, we may take photographs that are relevant to your care, for example to record a condition or monitor your progress. Photographs are stored in your health record and handled like the rest of your health information. We will only use them for marketing purposes after asking for and receiving your verbal consent. You can withdraw your consent at any time by contacting us.

Newsletters

We occasionally send newsletters by email to people who have agreed to receive them. You can unsubscribe at any time using the link in the newsletter or by contacting us. We do not give your details to other organisations for their marketing.

4. Who we share your information with

We respect the confidential nature of your health information. We only share it:

  • Within our practice team, including our practitioners and reception staff, to the extent needed to provide your care and manage your appointments and accounts;
  • With other private health providers (for example, your GP, specialist or another practitioner) when you ask us to, or when you have given us your consent; and
  • Where required or authorised by law, for example, under a court order, subpoena or statutory reporting obligation, or where necessary to lessen or prevent a serious threat to a person’s life, health or safety.

We do not sell your personal information, and we do not use it for direct marketing without your consent.

We use service providers to run our practice. In particular, your client records, bookings and payment details are held in Cliniko, our cloud-based practice management software. We also use providers for our online bookings, telehealth, email and SMS reminders, newsletters and website analytics. These providers handle your information only to provide their services to us, and we take reasonable steps to make sure they protect it.

5. Sending information overseas

Our practice management software, Cliniko, stores our data on servers located in Australia. Some of our other service providers, such as those that supply our website analytics, email newsletters or SMS reminders, may store or process information on servers outside Australia. Where this happens, we take reasonable steps to ensure the provider handles your information in line with Australian privacy requirements.

6. How we store and protect your information

We hold your records in electronic form, in our practice management software, Cliniko. We take reasonable steps to protect your information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include:

  • password-protected systems and restricted access based on staff roles;
  • secure, cloud-based storage of client records in Cliniko;
  • confidentiality obligations for all staff;
  • secure handling of emails, text messages and online communications.

Please be aware that email and text messages are not always completely secure. If you prefer that we do not use these to send you sensitive information, please tell us.

Data breaches

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.

7. How long we keep your records

Under Victorian law, we retain health records for at least seven years from the date of your last visit. If you were under 18 at your last visit, we keep your records until you turn 25. When records are no longer needed, we securely destroy or de-identify them.

8. Accessing and correcting your information

You have the right to request access to the personal and health information we hold about you, and to ask us to correct anything that is inaccurate, incomplete or out of date.

To make a request, please contact us using the details in section 12. We may ask you to put your request in writing and to verify your identity. We will respond within a reasonable time, generally within 30 days. We may charge a reasonable fee for providing copies, and in limited circumstances allowed by law we may refuse access, in which case we will explain why.

You can also ask us to transfer your records to another provider.

9. Anonymity and pseudonymity

Where it is lawful and practical, you may deal with us anonymously or under a pseudonym (for example, when making a general enquiry). For clinical care, we will usually need your real identity to provide safe treatment and keep accurate records.

10. Our website and online activity

Our website uses cookies and analytics tools to collect limited technical information, such as your IP address, browser type, device and the pages you visit. We use this to understand how the website is used and to improve it, and it is not used to identify you personally. You can turn off cookies in your browser settings, although parts of the website may not work as well.

If you book an appointment online, the details you enter (such as your name, contact details and reason for visiting) are stored in Cliniko and handled in line with this policy. We send appointment reminders by email and SMS to the contact details you have given us. If you would prefer not to receive them, please let us know.

11. Complaints

If you have a concern about how we have handled your information, please contact us first so we can try to resolve it. We will acknowledge your complaint promptly and respond within a reasonable time, generally within 30 days.

If you are not satisfied with our response, you can contact:

  • Health Complaints Commissioner (Victoria): hcc.vic.gov.au | 1300 582 113

Terms of Service

Essendon Natural Health

Effective date: 12 October 2026 | Last reviewed: 12 October 2026

1. About these terms

These Terms of Service apply when you book an appointment, attend a consultation (in person or by telehealth), buy products from us or use our website. They are an agreement between you and Essendon Natural Health (“we”, “us”, “our”), located at 187 Buckley St, Essendon, Victoria.

By booking an appointment or receiving our services, you agree to these terms. Please read them alongside our Privacy Policy, which explains how we handle your personal and health information.

2. Our services

We provide natural health consultations and treatments through our practitioners, who are members of professional associations. Our services are provided with reasonable care and skill.

Our services are not a substitute for emergency or conventional medical care. We do not guarantee any particular result, because individual responses to treatment vary. We may refer you to another health provider if we believe it is in your best interests.

If you have a medical emergency, call 000 or go to your nearest hospital emergency department.

3. Your responsibilities

To help us care for you safely, you agree to:

  • give us accurate and complete information about your health, medications, supplements, allergies and any changes to your condition;
  • tell us before treatment begins if you are or might be pregnant, or if you have any new diagnosis or treatment from another provider;
  • follow the treatment advice we give you, or tell us if you are unable or unwilling to;
  • treat our practitioners and staff, and other patients, with courtesy and respect.

We may refuse or end a consultation, or decline to see you again, if you behave in an abusive, threatening or unsafe way, or if we believe treatment would not be safe or appropriate.

4. Consent to treatment

Before treatment, your practitioner will explain the proposed approach, so that you can give informed consent. You can ask questions, decline any part of a treatment, or withdraw your consent at any time.

If the patient is under 18, a parent or legal guardian must give consent and attend the appointment.

5. Booking appointments

You can book by phone on 03 9337 8572, by email at admin@essendonnaturalhealth.com.au, or online through our website. When you book, please give us correct contact details so that we can send you reminders by email or SMS.

Please arrive a few minutes early. If you arrive late, your consultation may need to be shortened so that we do not run over time for the next patient. The full consultation fee still applies.

Appointment reminders and confirmation

We send an SMS reminder 48 hours before your appointment, or phone you if you do not have a mobile phone. Please confirm your appointment by replying “Yes” to the SMS. If you need to cancel or reschedule, please call us on 03 9337 8572.

If we have not heard from you by 24 hours before your appointment, we will resend the SMS and call you to confirm or cancel the appointment. We do require confirmation of all appointments before the day of the appointment.

6. Cancellations and missed appointments

When you book, we set aside time for you, and that time often cannot be filled at short notice. For this reason:

  • If you cancel or reschedule with at least 24 hours’ notice, there is no fee.
  • If you cancel or reschedule with less than 24 hours’ notice, or do not attend your appointment (a “no show”), a cancellation fee of 50% of the consultation fee applies.

To cancel or reschedule, please contact us by phone on 03 9337 8572 or by email at admin@essendonnaturalhealth.com.au. Please note that leaving a message after hours counts as notice from the time we receive it.

The cancellation fee is not claimable through private health insurance or Medicare. We will invoice you for any cancellation fee, and it must be paid before or at your next consultation.

We understand that genuine emergencies and illness happen. We may, at our discretion, waive or reduce the fee in those circumstances.

7. Fees and payment

Our current fees are published on our website on the Book Now page, and are also available from our reception on request. Fees may change from time to time, but we will not change the fee for an appointment you have already booked without telling you first.

Payment is due at the time of your consultation unless we have agreed otherwise. We accept EFTPOS, Visa and Mastercard, cash and electronic funds transfer (EFT). We do not accept personal cheques, American Express or other high-fee credit cards.

Private health insurance

A portion of some consultation fees can be claimed through private health insurance, if your policy covers that particular therapy. We can provide a receipt with the information your fund needs. Whether you are eligible for a rebate, and the amount, is a matter between you and your fund, so we recommend checking with your fund before your appointment. You remain responsible for paying our fee in full, even if your fund declines your claim.

Medicare

Medicare can cover a portion of osteopathy appointments with our osteopath at Essendon Natural Health if you have an enhanced primary care plan from your GP for osteopathic care. Medicare rebates apply only to eligible osteopathy appointments. Please tell us when you book if you have a plan, so we can check what applies to you.

8. Telehealth consultations

If you have a consultation by telehealth, you are responsible for having a suitable device and a stable internet connection, and for taking part from a private location. Telehealth is not suitable for every condition or treatment, and your practitioner may ask you to attend in person where needed. If a session is interrupted due to a technical issue on our side, we will reschedule it at no extra charge. Cancellation and no-show terms apply to telehealth appointments in the same way as in-person ones.

9. Products

We may recommend or sell supplements and other products. Please tell us about any allergies or medications before you start using them, and follow the directions provided. Our products come with the consumer guarantees under the Australian Consumer Law, which cannot be excluded. We will give you a refund if a product is not up to industry standard. We will also accept the return of any unopened product that is within six months of its expiry date, and give you a credit for it.

10. Photographs

We only take photographs with your permission. We handle them as set out in our Privacy Policy, and we will only use them for marketing after asking for and receiving your verbal consent.

11. Privacy and confidentiality

We keep your personal and health information confidential and handle it in line with our Privacy Policy, the Privacy Act 1988 (Cth) and the Health Records Act 2001 (Vic).

12. Our website

The information on our website is general in nature and is not personal health advice. You agree not to misuse the website, including by trying to gain unauthorised access to it or to our systems. We try to keep the website accurate and available, but we do not promise that it will be free from errors or interruptions.

13. Our liability

Nothing in these terms excludes, restricts or modifies any rights you have under the Australian Consumer Law or other laws that cannot be excluded. Subject to those rights, and to the extent the law allows, we are not liable for any indirect or consequential loss arising from your use of our services or website.

14. Complaints

If you are unhappy with any aspect of our service, please tell us so we can try to resolve it. You can contact us using the details below, and we will respond within a reasonable time. If we are unable to resolve your complaint, you can contact the Health Complaints Commissioner (Victoria) at hcc.vic.gov.au or on 1300 582 113.

15. Changes to these terms

We may update these terms from time to time. The current version is available at our practice and on our website, and applies to appointments booked after the effective date.

16. Governing law

These terms are governed by the laws of Victoria, Australia, and you and we submit to the non-exclusive jurisdiction of the courts of Victoria.
